Agentis collects the following types of information: (a) Account information you provide directly, such as your name, email address, phone number, and business details when you register or contact us. (b) Call and message data, including recordings, transcriptions, caller or sender information, duration, and timestamps generated when our AI agents handle interactions on your behalf. (c) Business information, including business name, address, hours of operation, services offered, and workflow rules you provide during onboarding. (d) Usage data, including how you interact with our dashboard and services.

2. How We Use Your Information

We use the information we collect to: (a) Deliver our AI agent services, including answering calls, responding to messages, scheduling appointments, and routing inquiries. (b) Improve service quality by analyzing interaction patterns, transcription accuracy, and AI performance. (c) Communicate with you about your account, billing, service updates, and support requests. (d) Comply with legal obligations and enforce our Terms of Service.

3. Third-Party Services

To deliver our AI agent services, we share certain data with the following categories of third-party providers: real-time voice and communications infrastructure; speech-to-text transcription; text-to-speech voice generation; natural language processing and conversational AI models; cloud hosting and database services; payment processing; email delivery; and messaging services used for approval notifications. Specific providers may change from time to time and are listed on our Subprocessor page. We require all third-party providers to maintain appropriate security measures and to use your data only for the purposes of delivering their services to us.

4. Data Retention

Call recordings, message logs, and transcriptions are retained for up to 90 days to support service delivery, quality assurance, and dispute resolution, unless a longer retention period is required by law or requested by you. Account and billing information is retained for the duration of your subscription and for a reasonable period thereafter for legal and accounting purposes. You may request earlier deletion of your data by contacting us.

5. Data Storage & Security

We implement appropriate technical and organizational measures to protect your data against unauthorized access, alteration, disclosure, or destruction. Recordings, transcripts, and messages are stored securely using encrypted storage and are accessed only by authorized personnel. However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.

6. Your Rights

You have the right to: (a) Access the personal data we hold about you. (b) Request correction of inaccurate data. (c) Request deletion of your data, subject to legal retention requirements. (d) Opt out of marketing communications at any time. To exercise any of these rights, please contact us. We will respond to your request within 30 days.

7. Voice Data & Recordings

Calls handled by Agentis may be recorded and transcribed where you enable this feature and where applicable law permits. You are responsible for obtaining any required caller consent in your jurisdiction. Recordings, transcripts, and associated audit logs are stored securely and retained in accordance with our data retention practices. You can configure recording settings and request deletion of voice data by contacting us.

8. Subprocessors

Agentis uses third-party subprocessors to provide the Services. A current list of subprocessors by category is available on our Subprocessor page. We may update this list from time to time and will notify customers of material changes in accordance with our Terms of Service.

9. Healthcare & HIPAA Notice

HIPAA-eligible configurations for call and message handling are available exclusively on our Synthetic Intelligence OS plan or under a custom enterprise agreement, and only where a Business Associate Agreement (BAA) has been executed between you and Agentis. Unless a BAA is in place, the Services must not be used to create, receive, store, or transmit protected health information (PHI). You are solely responsible for determining whether your use of the Services complies with the regulatory requirements applicable to your business.
