(b) Call data, including call recordings, transcriptions, caller phone numbers, call duration, and timestamps generated when our AI receptionist handles calls on your behalf. (c) Business information, including clinic name, address, hours of operation, services offered, and scheduling rules you provide during onboarding. (d) Usage data, including how you interact with our dashboard and services.

2. How We Use Your Information

We use the information we collect to: (a) Deliver our AI receptionist services, including answering calls, scheduling appointments, and routing inquiries. (b) Improve service quality by analyzing call patterns, transcription accuracy, and AI performance. (c) Communicate with you about your account, billing, service updates, and support requests. (d) Comply with legal obligations and enforce our Terms of Service.

3. Third-Party Services

To deliver our AI receptionist services, we share certain data with the following third-party providers: LiveKit (real-time voice communication infrastructure), Deepgram (speech-to-text transcription), ElevenLabs (text-to-speech voice generation), and OpenAI (natural language processing and conversation intelligence). These providers process call audio and transcription data as necessary to provide their respective services. We require all third-party providers to maintain appropriate security measures and to use your data only for the purposes of delivering their services to us.

4. Data Retention

Call recordings and transcriptions are retained for up to 90 days to support service delivery, quality assurance, and dispute resolution, unless a longer retention period is required by law or requested by you. Account and billing information is retained for the duration of your subscription and for a reasonable period thereafter for legal and accounting purposes. You may request earlier deletion of your call data by contacting us at hello@getagentis.ai.

5. Data Storage & Security

We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction. Call recordings and transcripts are stored securely using encrypted storage and are accessed only by authorized personnel. However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.

6. Your Rights

You have the right to: (a) Access the personal data we hold about you. (b) Request correction of inaccurate data. (c) Request deletion of your data, subject to legal retention requirements. 7. HIPAA Notice

Agentis takes data security seriously. Our standard service handles general inquiries, appointment scheduling, and call routing. HIPAA-compliant call handling is available on our Premium plan for practices that require it. Patient health information (PHI) should not be communicated through our standard service tier. If your practice requires HIPAA-compliant communications, contact us to discuss our Premium plan options.
